How do I prevent overpayment debts?
Amend the same day enrollment changes, certify only degree-applicable courses, and counsel students before they drop or withdraw.
Most overpayments come from the gap between when enrollment changes and when the VA hears about it. Close that gap and most debts never happen. In my office, a withdrawal is same-day work, every time.
The most common causes
- A late amendment after a withdrawal or drop.
- Courses certified that were not on the degree plan.
- A drop that takes the student to half-time or below.
- Non-punitive grades or failing for non-attendance after payment was made.
My prevention routine
- Get the current degree plan before the first certification and after any major change.
- Ask registrar staff to route every VA student drop or withdrawal to me the day it happens.
- Meet students before they drop to explain the effect on tuition, housing, and possible debt.
- Amend with a detailed remark and the correct effective date.
- Watch grades mid-term so struggling students hear from me early.
