Compliance & audits

How do I prepare for a compliance survey?

You usually get about 30 days of notice. Organize certification files, self-audit the common problem areas, and brief your leadership.

A compliance survey reviews your certification practices, records, and policies. Schools typically get about 30 days of notice. The best preparation is records you keep in order all year, but a focused month of work can still get you ready.

  1. Read the notification closely: the date, the documents requested, and any focus areas.
  2. Organize files by term: certifications, amendments, enrollment records, degree plans, and correspondence.
  3. Gather policies: SAP, attendance, grading, the academic calendar, program approvals, and your SCO training records.
  4. Self-audit a sample of files for timeliness, correct training time, degree-plan fit, and complete amendments.
  5. Fix what you can now, and document each correction.
  6. Brief your leadership, the registrar, and financial aid so they are available if needed.
  7. Practice explaining your process out loud, from intake to amendment.

On the day, answer directly and do not guess. When I am not sure, I say "let me check that" and come back with the document. Surveyors respect an organized office that knows its own process.
