How do I fix a student not found error?

Enrollment Manager cannot find a student when the VA file number is wrong or the benefit application has not been processed yet.

This error almost always means one of two things: the VA file number was entered incorrectly, or the student has not applied for benefits (or the application is still processing). Check the number first, then ask the student about their application.

  1. Compare the VA file number you entered against the student's Certificate of Eligibility. Transposed digits are common.
  2. Ask the student whether and when they applied. Recent applications may not be in the system yet.
  3. Have the student check their application status on VA.gov or by calling 1-888-GI-BILL-1.
  4. If they have not applied, point them to the VA education application and ask for the COE once it arrives.
  5. Once you have a COE, certify using the file number exactly as shown.

When I train new SCOs, I tell them to collect the COE at intake, not at certification time. Students who apply well before the term, ideally 60 days or more, rarely hit this error at all.
